Condo association management Less work for the board, fewer surprises for owners

Board members are volunteers with day jobs. We take on the routine work and bring the board what needs a decision, with the numbers and the options in hand.

Budgets and condo fees

  • Annual budget prepared with the board
  • Condo fees billed and collected, with online payment for owners
  • Late accounts followed up, and liens handled with the association's attorney when it comes to that
  • Association bills paid and a financial report every month

Board support

  • Board and annual meetings attended, with notices out on time
  • Minutes, records and owner requests kept in order
  • The declaration, bylaws and rules applied evenly
  • Resale certificates prepared when a unit sells

Building and grounds

  • Common areas inspected on a schedule
  • Snow, landscaping, cleaning and trash contracts bid and managed
  • Repairs handled, and emergencies answered around the clock
  • Projects bid out so the board compares like with like

Reserves and insurance

  • A long-range plan for roofs, paving, siding and the other big items
  • Reserve contributions built into the budget
  • The master insurance policy reviewed at each renewal
  • Claims managed from the first call to the finished repair

Assumes equal shares; many declarations split fees by each unit's percentage interest. Today's dollars, no inflation or interest. Today's balance goes to the soonest items first. A reserve study sets the real figures.

Self-managed and stretched thin? Plenty of associations start that way. We can take the whole job or just the parts the board is tired of carrying.

Commercial property management Commercial buildings run on the numbers

Commercial leases put more on the landlord's desk: shared costs to pass through, insurance to track, and tenants who expect fast answers. We handle it and report it every month.

    Rent and CAM charges

    • Base rent and common-area, tax and insurance charges billed on schedule
    • Year-end reconciliation with each tenant, backed by the invoices
    • Tenant certificates of insurance tracked and renewed
    • A monthly owner report with the rent roll and arrears

    Leasing

    • Vacant space marketed to tenants and local brokers
    • Prospective tenants' financials and business reviewed
    • Lease terms negotiated, and renewals tracked well before they come due
    • Estoppels and tenant paperwork for a refinance or sale

    Building operations

    • Preventive maintenance on roofs, HVAC, parking and life-safety systems
    • Vendor contracts bid and managed
    • Tenant requests answered and tracked
    • Capital projects planned and overseen

    Mixed-use buildings

    • Storefronts with apartments above, run as one building
    • Commercial and residential leases each handled under their own rules
    • One set of books and one report for the whole property
    • Apartments filled by our residential leasing team

Getting started How we take over a property

Whether you're leaving another manager or managing it yourself today, the handoff is our job, not yours.

    1. We walk the property

With the board or the owner, so we see what you see.

    2. We read the documents

Declaration and bylaws, or leases, plus budgets, contracts and insurance.

    3. You get a proposal

Scope and fee in writing, before anything is signed.

    4. We take the handoff

Records, funds, keys and vendor contacts from the previous manager.

    5. We introduce ourselves

To unit owners or tenants, with how to pay and how to reach us.

    6. You get the first report

At the end of the first full month, and every month after.

Condo and commercial FAQ What boards and owners ask us

For anything about your own property, call 401-572-3322.

    Request a proposal

Can you take over from our current management company?

Yes. We collect the records, funds, keys and vendor contacts from the outgoing manager, set up the accounts, and introduce ourselves to owners or tenants, so the board or owner does not have to run the handoff.

How is the management fee set?

We quote each property on its own after we walk it and read the documents. Size, age, the amenities, and how much of the work you want us to take on all count. You get the scope and fee in writing before anything is signed.

Do you prepare resale certificates when a condo unit sells?

Yes. We assemble the resale certificate the Rhode Island Condominium Act requires and get it out within the 10 days the Act allows.

    Do you handle CAM reconciliations?

Yes. We bill estimated common-area, tax and insurance charges through the year, then reconcile them against actual costs with each tenant at year end, with the invoices to back it up.

Can we hire you for part of the work?

Yes. Some boards keep their own books and want help with the building, and some owners only need the leasing or the accounting. We quote the parts you need.

What size properties do you take on?

From small condo associations of a few units to multi-tenant commercial and mixed-use buildings across Rhode Island and Southeastern Massachusetts.
